1. Introduction

PQube Business Solutions Pvt. Ltd. (“PQube”, “we”, “us” or “our”) respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains how we collect, use, store, disclose and protect personal information when you visit our website, contact us, purchase or subscribe to our services, use our digital platforms, or otherwise interact with us.

This Policy applies to our website, business enquiries, customer relationships, digital products, subscriptions and other services offered by PQube, unless a separate privacy notice or agreement applies to a particular service.

Where PQube provides services on behalf of another organisation, that organisation may separately determine how certain information is used. In such cases, the applicable service terms or privacy notice may provide additional details.

2. Information We Collect

Depending on how you interact with PQube, we may collect the following categories of information:

a. Contact and identification information

Your name, business or organisation name, job title, email address, telephone number, business address and other information you choose to provide when contacting us, submitting an enquiry or registering for a service.

b. Account and profile information

Information used to create or manage an account, business profile, digital profile, contact page, QR code or similar digital feature. This may include profile details, professional information, contact details, links, images, logos and other content you choose to submit.

c. Service and transaction information

Details relating to enquiries, orders, subscriptions, purchases, service requests, invoices, payment status, transaction identifiers, renewals, cancellations, refunds, customer support and communications with us.

d. Technical and usage information

Information such as IP address, browser type, device information, operating system, pages visited, approximate usage patterns, access times, diagnostic information and other technical logs generated when you use our website or services.

e. Communications and support information

Information you provide through contact forms, email, telephone, messaging channels, surveys, feedback, support requests or other interactions with PQube.

f. Business and integration information

Information required to configure, operate or support services that connect with third-party platforms, applications, communication tools or other systems, where relevant to the service you use.

g. Information provided by organisations or authorised representatives

Where applicable, we may receive business contact details, account instructions or other relevant information from an organisation that engages PQube to provide services, or from a person authorised to act on its behalf.

We aim to collect only information reasonably necessary for the relevant purpose. Please avoid submitting sensitive personal information unless it is specifically required and an appropriate process has been provided.

3. How We Use Your Information

We may use personal information for the following purposes, as applicable:

  • To respond to enquiries, provide proposals and communicate with prospective customers.
  • To create and manage customer accounts, business profiles and requested digital features.
  • To provide, configure, operate, maintain and improve our services and products.
  • To process orders, subscriptions, renewals, invoices, payments, cancellations and refunds.
  • To send service notifications, account alerts, transaction confirmations, security notices and support communications.
  • To provide customer support, resolve complaints, troubleshoot issues and maintain service quality.
  • To manage our business relationships, fulfil contractual obligations and maintain appropriate business records.
  • To monitor performance, diagnose technical issues, prevent fraud, detect misuse and protect our systems and users.
  • To understand website usage and improve functionality, user experience and service offerings.
  • To send marketing communications, offers, newsletters or information about our services where permitted by applicable law and subject to applicable consent and opt-out requirements.
  • To comply with applicable legal obligations and respond to lawful requests from competent authorities.

We will not use personal information for purposes materially different from those communicated to you unless we have an appropriate legal basis and provide any notice or obtain any consent required by applicable law.

4. Payments, Billing and Subscriptions

Where PQube offers paid services, digital products or subscriptions, we may process information necessary to complete and administer transactions. This may include customer and billing details, the selected service or subscription, order references, invoice details, payment status, transaction identifiers, renewal dates and refund or cancellation records.

Payments may be processed through third-party payment service providers, banks or other payment partners. These providers may collect and process payment information in accordance with their own terms, privacy notices and applicable requirements.

Where payment processing is handled by a third-party provider, PQube generally receives the transaction information needed to confirm and administer the payment. We do not intend to collect or store full payment card credentials, such as complete card numbers or card security codes, on our own systems unless specifically required and supported by an appropriately secured and compliant arrangement.

We may use transaction information to:

  • Confirm and reconcile payments.
  • Activate, maintain, renew or discontinue paid services.
  • Generate invoices and maintain accounting records.
  • Process refunds and resolve failed, duplicate or disputed transactions.
  • Detect suspected fraud, unauthorised activity or misuse.
  • Respond to customer enquiries and comply with applicable legal obligations.

Subscription pricing, billing frequency, renewal, cancellation and refund conditions will be communicated through the relevant service or purchase terms. This Privacy Policy does not replace those commercial terms.

5. Information Displayed Through Digital Profiles and Shared Links

Certain services may allow customers or authorised users to create digital profiles, business contact pages, QR codes, shareable links or similar features using information they provide.

The information included in such features may be displayed to other people who access the relevant profile, scan a QR code, open a shared link or otherwise use the feature, depending on its configuration.

You are responsible for ensuring that you are authorised to submit the information you provide, including information relating to employees, colleagues, representatives or other individuals.

Before publishing a profile or sharing a link or QR code, please review the information it makes accessible. Do not include personal or confidential information that you do not intend to share.

Where the relevant service provides profile editing, visibility or deletion controls, you should use those controls to manage the information displayed. Removing information from a profile may not immediately remove copies already downloaded, shared, cached or retained by third parties.

PQube may process the submitted information to create, host, maintain, display and support the requested features, in accordance with the applicable service terms and this Policy.

6. Cookies and Similar Technologies

We may use cookies and similar technologies to support website functionality, remember preferences, understand traffic, measure performance, maintain security and improve the user experience.

Depending on the technologies deployed, certain information may be collected by third-party analytics, embedded content or other service providers.

You can manage cookies through available website preference controls and your browser settings. Disabling certain cookies may affect the functionality of some website features.

For additional information about the cookies used on our website, please refer to our Cookie Policy: https://www.pqube.in/cookie-policy/

7. Sharing and Disclosure of Information

PQube does not sell personal information as a standalone commercial product. We may share personal information where reasonably necessary for the purposes described in this Policy, subject to applicable law.

This may include sharing information with:

  • Service providers: Providers of hosting, cloud infrastructure, software, customer support, communications, analytics, security, billing and other business services.
  • Payment partners: Payment gateways, banks and related providers to process transactions, verify payment status, manage refunds and address disputes.
  • Integration partners: Third-party platforms or applications that you or your organisation choose to connect to a PQube service, where information sharing is necessary for the requested functionality.
  • Business partners and service delivery partners: Organisations that assist in delivering, supporting or fulfilling a service or product you have requested.
  • Your organisation or authorised representatives: Where necessary to administer an account, provide a contracted service or respond to authorised instructions.
  • Professional advisers: Legal, accounting, audit or other professional advisers where reasonably necessary.
  • Government and regulatory authorities: Where disclosure is required by applicable law, a lawful request or a competent authority.
  • Other parties in business transactions: Where relevant to a merger, acquisition, restructuring or transfer of business, subject to applicable legal requirements and appropriate safeguards.

We seek to ensure that service providers handling personal information on our behalf are subject to appropriate confidentiality, security and contractual obligations.

Third-party providers may process information under their own terms and privacy policies. Their practices are not entirely controlled by PQube, and you should review their notices where relevant.

8. Third-Party Websites and Services

Our website and services may contain links to, or integrations with, websites, applications and platforms operated by third parties.

When you visit or use a third-party service, that provider's own terms, privacy notice and practices may apply. PQube is not responsible for the independent privacy or security practices of third-party services that it does not operate.

Where an integration is necessary to provide a service you have requested, we may exchange relevant information with the applicable provider to enable that functionality.

9. Data Retention

We retain personal information for as long as reasonably necessary to fulfil the purposes for which it was collected, provide the relevant services, maintain customer and transaction records, resolve disputes, protect our legitimate business interests and comply with applicable legal obligations.

Retention periods may vary depending on the nature of the information and the purpose for which it is used. For example, customer account information, service records, invoices, transaction records, support communications and technical logs may be retained for different periods.

When personal information is no longer required, we will take reasonable steps to delete it, anonymise it or otherwise dispose of it securely, subject to applicable legal requirements and any legitimate need to retain relevant records.

Where a customer account or service is closed, some information may need to be retained for a limited period for accounting, dispute resolution, security, legal compliance or other applicable purposes.

10. Information Security

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, disclosure, alteration, loss or misuse.

Depending on the service and the information involved, these measures may include access controls, authentication, restricted access to business systems, secure communications, backups, monitoring and other appropriate safeguards.

We seek to limit access to personal information to personnel and service providers who need it for legitimate business or service delivery purposes.

However, no website, system, transmission method or electronic storage arrangement can be guaranteed to be completely secure. We therefore cannot guarantee absolute security.

If you believe your account or information has been compromised, please contact us promptly using the details provided in this Policy.

11. Your Choices and Privacy Rights

Depending on applicable law and the circumstances in which we process your information, you may have rights relating to your personal data, including rights to request access to information about its processing, correction, completion or updating, erasure, withdrawal of consent where processing is based on consent, and grievance redressal.

You may also choose to unsubscribe from promotional emails using the instructions provided in those communications. Unsubscribing from marketing communications will not necessarily stop essential service messages, transaction notifications or other communications that we are permitted or required to send.

To submit a privacy request, please contact us using the details in the Contact Us section. We may need to verify your identity or authority before acting on a request.

We will review and respond to requests in accordance with applicable law. Certain information may need to be retained where required by law or where another permitted basis for retention applies.

Where a service provides account, profile or content-management controls, you may also use those controls to update or remove information directly.

12. Children's Privacy

Our services are generally intended for businesses, organisations and adults acting in a professional or personal capacity.

We do not knowingly seek to collect personal information from children in circumstances where such collection is prohibited or requires safeguards that have not been implemented.

If you believe that a child has provided personal information to us inappropriately, please contact us so that we can review the matter and take appropriate action in accordance with applicable law.

Where any service is intended for, or is likely to involve, children, additional age-related safeguards and requirements may apply before that service is offered.

13. International Processing and Third-Party Infrastructure

PQube may use cloud infrastructure, software platforms and service providers that process or store information in India or other jurisdictions, depending on the services used and the arrangements with those providers.

Where personal information is transferred or processed outside India, we will handle such processing subject to applicable Indian law and any relevant restrictions or requirements.

The location and processing arrangements may vary by service and provider. Where appropriate, additional information may be provided in the relevant service terms or privacy notice.

14. Business and Customer Information

If PQube provides services to an organisation, we may process information about that organisation's employees, representatives, customers or other authorised users as necessary to deliver the contracted services.

Depending on the arrangement, the organisation may determine the purposes for which certain information is collected and used, while PQube processes that information to provide the requested services.

Customers and organisations are responsible for ensuring that they have the appropriate authority and permissions to provide information to PQube and to instruct us to process it.

Where a separate contract or data-processing arrangement governs such processing, that agreement may supplement this Policy.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, business practices, technology or applicable legal requirements.

The updated version will be published on this page with a revised “Last updated” date. Where required by applicable law, we will provide additional notice or obtain consent for material changes.

We encourage you to review this Policy periodically.

17. Relationship with Other Policies and Terms

This Privacy Policy should be read together with our applicable Terms and Conditions and Cookie Policy: https://www.pqube.in/cookie-policy/

Specific services, products, subscriptions or transactions may be subject to additional terms that explain pricing, billing, renewal, cancellation, refunds, service availability, usage restrictions or other commercial conditions.

Where a separate service agreement or contract applies, it should be read together with this Policy. Any inconsistency relating to the processing of personal information should be addressed in accordance with applicable law and the relevant contractual arrangements.

This Policy is intended to explain how PQube handles personal information. It does not, by itself, create a warranty that every service will be uninterrupted, error-free or available at all times.

02 / General terms

Terms & Conditions

These terms govern access to PQube's websites and the products and services offered by PQube Business Solutions (“PQube”, “we”, “us” and “our”).

Our offerings

PQube provides business and technology solutions that may include software, digital platforms, consulting, digital marketing, implementation, managed services, support and subscription-based offerings. Availability and features vary by service and may change over time.

Orders and service agreements

Specific deliverables, timelines, fees, service periods and support arrangements are set out in the applicable quotation, order form, statement of work, product plan or agreement. Where a separate agreement governs a particular service, its agreed provisions apply to that service in the event of an inconsistency.

Customer responsibilities

Customers must provide accurate information, safeguard their access credentials, cooperate with reasonable onboarding requirements and use our services lawfully. Use of integrated third-party platforms is also subject to the applicable provider's terms.

Fees and taxes

Charges, payment schedules, applicable taxes and any separately billable usage are stated at checkout or in the relevant commercial agreement. Non-payment may affect access to services, subject to applicable contractual terms and law.

Intellectual property

Website content, trademarks, software and other materials remain the property of their respective owners. Rights to customer-specific deliverables and licences are determined by the relevant written agreement.

Changes and availability

We may maintain, update or modify our websites and services. Service delivery may involve third-party infrastructure or integrations. Nothing in these terms limits rights or remedies that cannot be excluded under applicable law.

03 / Information protection

Data Security

PQube takes reasonable steps to protect information handled through its website and services. The measures used may vary depending on the service, the type of information and the systems involved.

Our approach may include access restrictions, authentication, secure transmission where supported, system monitoring, backups, staff or provider access controls, and reasonable procedures for handling suspected security incidents. Access to information is limited where appropriate to people and service providers who need it for authorised business or service delivery purposes.

We may use third-party hosting, cloud, software, payment and integration providers to operate our services. These providers may apply their own security controls and contractual obligations.

No website, system or transmission method can be guaranteed to be completely secure. Users should protect their account credentials, use secure devices and notify PQube promptly if they suspect unauthorised access or misuse.

To report a security or privacy concern, contact networksupport[at]pqube[dot]in.

04 / Recurring services

Subscription Policy

This policy applies to services offered by PQube on a recurring or subscription basis. The applicable order page, quotation, service agreement or checkout screen may contain additional terms for a particular subscription.

Subscription details: Before subscribing, customers should be shown the applicable service description, price, currency, billing frequency, applicable taxes, subscription start date, renewal arrangement and any minimum commitment or usage limits.

Billing and payment: Subscription charges are collected using the payment method and provider presented at checkout or otherwise agreed with the customer. Customers should keep billing information current and contact PQube if a charge appears incorrect.

Renewal: Subscriptions may renew automatically or require manual renewal, depending on the plan selected. Before subscribing, customers will be informed of the applicable billing frequency, renewal amount or pricing basis, and how to cancel. Where automatic renewal applies, customers can follow the stated cancellation process to prevent subsequent renewals, subject to any applicable notice period and payment-provider requirements.

Price changes: If subscription pricing changes, PQube will communicate the revised pricing and its effective date in advance through an appropriate communication channel, such as email or SMS, using the contact details associated with the customer's account and in accordance with applicable notice and consent requirements. Where required, customers will be given the opportunity to review the change and cancel their subscription before the revised price takes effect.

Cancellation: Customers may request cancellation of their subscription by contacting their designated Account Manager via email. The cancellation request should include the customer's name, organisation and relevant subscription details. PQube will confirm the cancellation and advise when it takes effect. Unless otherwise stated in the applicable subscription terms, access to the service will continue until the end of the current paid subscription period, and no further renewal charges will be made after cancellation takes effect.

Failed payments: If a subscription payment fails or cannot be verified, PQube may notify the customer and request that the payment details be updated or the payment issue be resolved. If the payment remains outstanding, PQube may restrict, suspend or discontinue the relevant paid service in accordance with the applicable subscription terms and any required notices. Customers should contact their Account Manager if they believe a payment failure has occurred in error.

Refunds: Refund eligibility, applicable conditions and processing are governed by PQube's Cancellation & Refunds Policy and any applicable service-specific agreement. Customers wishing to request a refund should contact their designated Account Manager, who can explain the applicable process and next steps. Any approved refund will be processed in accordance with the applicable policy and relevant payment-provider requirements.

Support: For subscription-related questions, billing enquiries, renewal or cancellation requests, and payment issues, customers should contact their designated Account Manager via email. If no Account Manager has been assigned, customers may contact PQube at accounts[at]pqube[dot]in. Please include the organisation name and relevant subscription or invoice reference to help us respond efficiently.

05 / Payments and cancellation

Cancellation & Refunds

Overview: This policy explains how customers may request cancellations or refunds for purchases and services offered by PQube. Eligibility and applicable conditions may vary depending on the service or product purchased, the status of delivery or service fulfilment, work already completed, and any applicable agreement or service-specific terms.

How to Request a Cancellation or Refund: Customers may contact their designated Account Manager or email accounts[at]pqube[dot]in to submit a cancellation or refund request.

Please include:

• Customer or organisation name.

• Order, subscription or invoice reference, where applicable.

• Service or product concerned.

• Reason for the request and any relevant supporting details.

Please do not include full payment card numbers, card security codes or other sensitive payment credentials in your request.

Cancellation: Cancellation conditions depend on the service or product purchased and any applicable agreement.

For subscriptions, the cancellation process, effective date and impact on continued service access are described in the Subscription Policy or applicable subscription terms.

For other services or purchases, any applicable cancellation conditions, including notice requirements or work already undertaken, will be communicated through the relevant service terms, quotation or agreement.

Refund Eligibility: Refund requests will be assessed against the applicable service or product terms, the circumstances of the request and applicable law.

Depending on the offering, relevant considerations may include whether a service has commenced or been completed, whether a digital product has been delivered or accessed, any applicable setup fees or deposits, unused subscription periods, duplicate charges, and non-delivery of a purchased product or service.

The applicable purchase terms will specify any relevant eligibility conditions, exclusions or limitations. Nothing in this policy excludes any rights or remedies that cannot lawfully be excluded.

Refund Processing: Where a refund is approved, PQube will initiate it using the applicable payment method or another agreed method, subject to relevant payment-provider or banking requirements.

The time required for the refund to appear in the customer's account may depend on the payment provider or bank. Customers will be informed of any relevant next steps where necessary.

Failed or Duplicate Payments: If an amount has been debited but the order or service has not been confirmed, or if a duplicate charge appears, please contact accounts department with the relevant transaction reference and details.

PQube will review the transaction, verify its status and communicate the next steps. A payment debit alone does not necessarily confirm that an order or subscription has been activated.

Service-Specific Terms: Certain services, subscriptions or purchases may be governed by additional terms contained in a quotation, order confirmation, subscription agreement or other applicable contract.

Customers should review those terms alongside this policy. Where different terms appear to conflict, the matter will be addressed in accordance with applicable law and the relevant contractual arrangements.

Contact and Support: For cancellation, refund or payment-related enquiries, please contact your designated Account Manager or email accounts[at]pqube[dot]in.

Please include the relevant order, subscription or invoice reference so that PQube can review your request efficiently.

06 / Delivery and fulfilment

Shipping & Exchange

Where physical products are offered, shipping, delivery, returns and exchanges may be handled by PQube or by third-party sellers, suppliers or fulfilment partners, depending on the product and order.

Shipping and Delivery: Applicable shipping charges, delivery estimates and serviceable locations will be communicated during the ordering process or by the relevant provider. Delivery estimates are indicative unless expressly confirmed otherwise.

Order Issues: For queries relating to delayed or missing deliveries, incorrect or damaged items, or order tracking, please contact the seller or provider identified in your order details, or email contactus[at]pqube[dot[in for assistance.

Returns and Exchanges: Eligibility, conditions and applicable procedures will depend on the product, seller or fulfilment provider and the terms communicated at the time of purchase, subject to applicable law.

Refunds: Approved refunds relating to returned, cancelled or undelivered orders will be handled in accordance with the applicable Cancellation & Refunds Policy and the relevant seller or provider's terms, subject to applicable law.
